eRecording is the process of electronically submitting land record documents through an authorized eRecording vendor directly to the County Clerk’s Office. This secure method allows submitters to file documents quickly and efficiently without the need for in-person delivery or mailing.
Jefferson County implemented eRecording in 2009 and continues to expand its use. Currently, approximately 61% of all land record documents are filed electronically. eRecording provides a convenient, flexible, fast, secure and green filing option while ensuring documents are transmitted and received in accordance with established industry security standards.
The following entities may use eRecording to electronically file documents with our office:
- An attorney licensed in this state;
- A bank, savings and loan association, savings bank, or credit union doing business under laws of the United States or this state;
- A federally chartered lending institution, a federal government-sponsored entity, an instrumentality of the federal government, or a person approved as a mortgagee by the United States to make federally insured loans;
- A person licensed to make regulated loans in this state;
- A title insurance company or title insurance agent licensed to do business in this state; or
- An agency of this state.

Jefferson County accepts electronically filed land record documents through authorized eRecording vendors that maintain a Memorandum of Understanding (MOU) with the County Clerk’s Office.
To begin eRecording, you must establish an account directly with one of the approved vendors. Each vendor provides its own pricing structure, training resources, and technical support.

Acceptable ID Types
1) a driver’s license, election identification certificate, or personal identification card issued to the person by any state or territory of the United States that has not expired or that expired no earlier than 60 days before the date of presentation.
2) a United States military identification card that contains the person’s photograph that has not expired or that expired no earlier than 60 days before the date of presentation.
3) a United States citizenship certificate issued to the person that contains the person’s photograph.
4) a United States permanent Resident Card that has not expired or that expired no earlier than 60 days before the date of presentation.
5) an identification card issued by a municipality intended to serve as a general identification card for the holder that has not expired or that expired no earlier than 60 days before the date of presentation.
6) a federally recognized tribal enrollment card or other form of tribal identification that has not expired or that expired no earlier than 60 days before the date of presentation.
7) a United States passport or a passport issued by a foreign government recognized by the United States issued to the person that has not expired or that expired no earlier than 60 days before the date of presentation.
8) a license to carry a concealed handgun issued to the person by the Department of Public Safety that has not expired or that expired no earlier than 60 days before the date of presentation.
